When you open a file with us, participate in a closing or exchange, contact us, or use one of our client portals, you may provide:
Our client portals record the IP address of devices that sign in, together with sign-in times, for security and audit purposes. Our web servers and load balancers keep standard access logs — IP address, time, the page requested, browser type and referring page — which we use to measure traffic, diagnose faults and protect the sites from abuse.
Where you submit a message through a contact form on our sites, we store the name, email address and message you provide so that we can reply to you and keep a record of the enquiry.
www.mtc.llc (Meridian Title Company) uses Google Analytics 4 to measure how the site is used — which pages are visited, how visitors arrive, and whether the contact form is completed. This sets analytics cookies in your browser and shares that measurement data with Google as our analytics provider. We use it to understand and improve the site, not to identify you personally.

Our text messages are transactional only and relate to a file you have open with us — for example §1031 exchange 45-day and 180-day deadline reminders, document requests, and closing, disbursement or portal status notices. We do not send marketing or promotional text messages.

We do not sell your personal information. We share it only as needed to do the work you have engaged us for, or where the law requires it:
As title, escrow and settlement providers, we are financial institutions under the Gramm-Leach-Bliley Act (15 U.S.C. §§ 6801 et seq.), and the information you give us in a real estate transaction is nonpublic personal information. We restrict access to it to those employees and service providers who need it to provide services to you, and we maintain physical, electronic and procedural safeguards designed to comply with the GLBA Safeguards Rule. We do not disclose nonpublic personal information about our customers or former customers to anyone except as permitted by law or as described in this Policy.
This applies with particular force to the Social Security numbers, taxpayer identification numbers and bank account and routing numbers we hold in connection with construction disbursement. We collect them only where a payment or a tax-reporting obligation requires it, we do not use them for any other purpose, and we never sell them or disclose them for marketing.

⚠️ Some records — closing files, escrow and disbursement records, exchange documentation and the associated financial records — must be retained for periods fixed by state law, underwriter requirements and tax rules. Where that is the case we may be unable to delete information on request, and we will tell you so.
We keep personal information for as long as needed to provide our services and for as long as our legal, regulatory, underwriting and tax obligations require. When we no longer have a legitimate business or legal need for it, we delete it or render it unidentifiable.
We maintain administrative, technical and physical safeguards designed to protect personal information, including encryption of documents at rest in our systems, access controls that limit each user to their own file, and audit logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Wire fraud warning. We will never send you new or changed wiring instructions by email or text message without you also confirming them with us by telephone on a number you already know. If you receive wiring instructions that appear to come from us, call our office to verify before sending any funds.
Our Site and services are directed to adults conducting real estate and exchange transactions. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, contact us and we will take appropriate steps to delete it.
Our Site links to other websites, including those of our affiliated companies and business partners. We are not responsible for the privacy practices of sites we do not operate, and we encourage you to read their policies.
We are based in the United States and process information in the United States. If you access our Site or services from elsewhere, your information will be transferred to and processed in the U.S., which may have different data protection laws than your own jurisdiction.
